Jobs Description

Site Operations & Maintenance

  • Oversee the operation, maintenance, and troubleshooting of building systems: HVAC, electrical, plumbing, BMS, life safety, utilities (e.g., purified water, compressed air, steam), waste handling, and grounds.
  • Ensure asset uptime and reliability via a risk based preventive and predictive maintenance program; manage CMMS/work order intake, prioritization, and closure.
  • Maintain facility documentation (drawings, O&M manuals, SOPs), permits, licenses, and inspection logs; ensure audit readiness at all times.
  • Coordinate site services: janitorial, mailroom/shipping, pest management, landscaping, snow removal, space moves, and workplace services.

Health, Safety, Compliance & Quality

  • Partner with EHS to maintain a safe workplace; perform routine safety checks, hazard assessments, and corrective actions.
  • Ensure compliance with applicable codes/standards and (if applicable) regulated environments (e.g., GLP/GMP/AAALAC/ISO).
  • Lead or support incident response, root cause analysis, and CAPA implementation.
  • Ensure contractor safety programs and permit to work procedures are followed.

Vendor & Contract Management

  • Source, select, and manage vendors and contractors; define SLAs/KPIs and track performance.
  • Oversee service contracts, renewals, SOWs, and change orders; ensure cost control and service quality.

Projects & Space

  • Plan and execute small capital projects and minor renovations (scopes, estimates, scheduling, commissioning, handover).
  • Coordinate with Corporate Real Estate/Engineering on larger projects and site master planning.
  • Maintain accurate space data, occupancy, and move coordination in partnership with Workplace/Lab Ops.

People Leadership

  • Supervisor: Lead a small team of technicians/contractors; schedule work, assign tasks, coach for performance and development.
  • Manager: Lead a broader team (technicians, coordinators, supervisors); define org priorities, capacity planning, succession, and skills development.

Budget & Performance

  • Supervisor: Monitor spend against budget; validate invoices; identify savings and efficiency opportunities.
  • Manager: Own OPEX and minor CAPEX planning and management; develop annual budgets and quarterly forecasts; deliver to plan.
  • Track and report KPIs (e.g., work order backlog, response times, PM compliance, asset uptime, customer satisfaction).

Stakeholder Engagement & Communication

  • Serve as primary facilities point of contact for site leaders and science/ops teams.
  • Communicate planned shutdowns, outages, and works; manage change control; conduct service reviews with internal stakeholders.

Jobs Requirement

Facility Supervisor:

  • 5+ years of facilities/building maintenance experience; 1–2 years in a lead or supervisory role preferred.

Facility Manager:

  • 7–10+ years of facilities operations experience including 3+ years in people leadership and vendor/contract management.
  • Degree or technical diploma in engineering, building services, facilities management, or related field; or equivalent experience.
  • Experience in laboratory, vivarium, pharma/biotech, or R&D environments strongly preferred.
  • Familiarity with CMMS, BMS, and standard PM methodologies.
  • Knowledge of relevant codes/standards (e.g., electrical, mechanical, fire/life-safety; GMP/GLP/AAALAC if applicable).
  • IFMA (CFM/FMP), BOMA, NEBOSH/IOSH, OSHA 30, LEED, trade licenses (electrical/HVAC), Project Management (PMP/Prince2), ISO 55001 (asset mgmt) familiarity.
  • Strong technical troubleshooting and risk based decision making.
  • Vendor and contract management; negotiation and performance management.
  • Planning and prioritization across reactive and preventive work.
  • Clear communication with scientific and operational stakeholders.
  • People leadership: coaching, scheduling, performance management.
  • Data driven approach to KPIs and continuous improvement (5S/Lean).
  • Proficiency with CMMS, BMS, MS Office/Teams; basic CAD familiarity a plus.
