Jobs Description

1. Procurement & Purchasing Management

  • Lead the procurement process for all office supplies, stationery, furniture, and technical equipment.
  • Source and evaluate vendors to ensure the best balance of quality, price, and delivery speed.
  • Prepare purchase orders, negotiate with suppliers, and manage the "E-Approval" process for all administrative expenses.

2.Asset Management

  • Maintain the company’s Asset register, ensuring all items are correctly tagged and tracked in the system.
  • Ensure the same-day recording of new assets upon arrival and update the system immediately for any asset movements or disposals.
  • Conduct regular physical audits of assets at the Head Office and regional branches to prevent loss or variance.
  • Coordinate with the Finance and Audit teams to ensure actual asset lists match financial records.

3. Petrol & Sim Card Administration

  • Manage the allocation and monitoring of petrol allowances for company vehicles and eligible staff.
  • Oversee the distribution for the Company SIM cards to staff and do the monthly report.
  • Maintain a detailed log of fuel consumption and communication expenses to identify and report to management

4. Facility & Rental Management

  • Manage all Office Rental Agreements and lease contracts for the Head Office and all regional branches.
  • Monitor contract expiration dates and lead the negotiation process for lease renewals or new office locations.
  • Act as the primary point of contact for landlords regarding maintenance, security, and payment schedules

5. Office Hygiene & Maintenance

  • Oversee the cleaning team and maintenance staff to ensure the office is always clean, professional, and hygienic.
  • Supervise the security team and monitor camera/CCTV systems to ensure the safety of the premises.
  • Coordinate repairs and maintenance for electricity, plumbing, and air conditioning systems to ensure a comfortable working environment.

6. Reporting

  • Prepare weekly and monthly administrative reports for the Head of Department/CEO.
  • Ensure all administrative activities comply with internal Policies and company guidelines.
  • Assist in organizing company events, meetings, and staff engagement activities.
  • Other Tasks is assigned by Head of Department /CEO

Jobs Requirement

  • Bachelor’s Degree in Business Administration, Management, or a related field
  • Minimum 3 to 5 years of experience in Administrative Management, at least 1 year as Management Level,
  • Experience with MFIs or Banking sector is preferable
  • Strong proficiency in Microsoft Excel (for asset tracking and cost analysis) and PowerPoint.
  • Excellent negotiation skills
  • Ability to work independently, prioritize tasks, and meet strict deadlines.
  • Good personal relation, self-motivation, honest, self-discipline, team and commitment
  • Detailed-oriented and highly organized.
  • Strong interpersonal and communication skills (English and Khmer).
  • Ability to work under pressure in a fast-paced environment.
  • Proactive problem-solver with a strong sense of responsibility.
  • High motivation ability work and very good in leadership
