Facilities Operations Developing and implementing building procedures and performance measures to ensure simplification and accuracy of work methods and reliability of systems Ensuring an adequate supply of materials and service for the proper operation of the buildings and enter into supply and service contracts as approved by the client Assisting with the preparations of strategic plans, budgets, and client reports, including financial reconciliation for service contract accounts Preparation of tender documentation; evaluation of tenders; preparation of contracts as defined by the main agreement. Assist Client with the security arrangements for the facility Ensure the implementation and management of Risk & Safety work practices to reduce the interruption to Client’s operations Contribute to the Monthly Management Report to Client Liaise with Building Management to ensure all safety procedures, including Crisis Management/ Business Continuity and Emergency Procedures are maintained at all times. Implement and manage an audit programme to ensure the exposure to risk is minimised Cleaning Management Ensure that all stationary, catering and supplies are maintained as required Assist the facilities in the management and induction of all contractors on site to ensure they perform to the required standards Assist in the procurement of vendors and services as required Finance Management Assisting with the preparations of strategic plans, budgets, and client reports, including financial reconciliation for service contract accounts Assist in financial processes for facilities management, to ensure that all financial management requirements are completed in a timely and accurate manner Ensure prompt and accurate management of purchase orders in the financial system, as required Risk Management Assist in the implementation and management of the facility risk management program Follow established escalation procedures and incident reporting procedures Adhere to Jones Lang LaSalle’s business conduct by ensuring compliance with the firm’s guidelines, procedures and strategies
