Jobs Description

- Responsible for receiving all guests, vendors, packages, mail and recording and directly them to the 

appropriate department

- Responsible for the logistics and planning of special events or meetings in support of project goals

including support to identification of vendors, organizing invitations, and other tasks as needed;

- Assist and work closely with Procurement Specialist in drafting/preparing purchase orders and other

compliance-related documents as needed.

- Support compliant application of procurement processes including updating the inventory, applying

inventory stickers and managing equipment;

- Manage office stationaries and other office inventories.

- Provide support for the daily management of Main office and administration

- Provide IT support to staff in the form of troubleshooting computer problems, connecting printers, etc in coordination with the IT Service Provider and IT Service Consultant and the HO IT to ensure compliance with HO

IT policies and procedures.

- Manage petty cash in accordance with Tetra Tech policies and in coordination with Administration and 

Operations Specialist;

- Support project operations including property management, travel support, and partner coordination as 

assigned by and in close coordination with the Administration Operations Specialist;

- Assist in the coordination of domestic and international travel arrangements;

- Responsible for checking the PO Box on a regular basis, collecting and distributing mail

- Assist the Administration and Operations Specialist with filing project records including vendor contracts,

legal and registration files, property management files, and HR records for each employee including

employment contracts, employment evaluation forms, employment forms and documents, annual leave;

- Other duties as assigned by the Administration and Operations Specialist



Jobs Requirement

- EDUCATION: University degree in accounting, finance, business administration, or other relevant discipline.

- WORK EXPERIENCE: Minimum of 3 years’ experience in an equivalent position providing administrative 

support to international donor-funded projects.

- SKILLS: Computer literate in relevant software applications such as Excel, Word, PowerPoint, etc.

Demonstrated experience in administration and operations ensuring appropriately tailored and synchronized activities.

- LANGUAGES: Fluency in written and spoken English.

- GENERAL: Tactfulness, Enthusiasm for the job. Good Human Relation skills, integrity and ability to work with minimum supervision and under pressure.
