Jobs Description

 Providing administrative and clerical support to the assigned PG.  Field incoming calls, direct enquiries or take messages as needed.  Maintain client confidence by keeping client-lawyer information confidential.  Coordinate case preparation.  Follow-up on delegated assignments.  Provide historical reference by developing and utilizing filing and retrieval systems.  Facilitate the meeting of deadlines by keeping multiple agendas and provide timely reminders to the respective LPs.  Record meeting discussions, maintain transcripts, document and maintain evidence.  Ensure LPs enter and close time according to Firm requirements.  Diligent electronic record keeping and filing of work matters on Firm-approved system.  Observe Client Document Management protocols (file opening, maintenance, retrieval, closing and retention).  Schedule appointments/meetings/conference calls, arrange conference rooms, update relevant calendars and allocate LPs’ time.  Attend to hotel and travel arrangements by PG team members, including visa invitations and applications as required.  Delivery of legal correspondence to clients, courts or government agencies when the messenger services are unavailable.  Assist in research and information collation work.  Prepare and submit PG payment requisitions.  Support client activities and requirements in a proactive manner, liaising with clients for example, take messages, pass on information, deal with simple queries.  Assist the Business Development team to organize in-house client events spearheaded by the PG.  Coordinate preparation of charts, graphs, and other visuals.  Prepare and/or format documents according to the Firm's templates using appropriate Microsoft applications (Word, Excel and PowerPoint).  Attend to scanning, printing, faxing and other general administrative tasks.  May be required to follow up on client fees collection.  Organize lunch meetings, as required.  Continuous improvement on job processes.
