Summary of the Position: Reporting to the Base Supervisor, the Premises and Logistics Assistant is responsible for ensuring the premises used by MAG are fit for purpose and for providing general logistical support to the Battambang base. Key activities include premises management and maintenance, asset and stock management, as well as providing cover when the Base Assistant is absent. Note: This role follows the MAG teams' operational cycle, meaning that the recruited staff member will work every day, including weekends, for approximately 20 days of each month, followed by approximately 10 consecutive days off. Weekends worked and public holidays are included in this stand-down period. Main Responsibilities: 1. Premises Management - Work with the Base Supervisor to ensure that MAG-rented accommodation and bases are fit for purpose and meet health and safety and safeguarding standards - Carry out regular visits to MAG-used premises and report to the Base Supervisor on any findings or areas for improvement. It is expected that the person fulfilling this role will be visiting accommodation on at least 2 days per week either for monitoring or to supervise improvements being made. Liaise closely with the operational teams and the Store Keeper/ Base Assistant/ Base Supervisor to ensure that opportunities to carry needed equipment are always taken during these visits. - Ensure regular deliveries of required items to the accommodation (eg drinking water and water for cleaning/ washing) - Working within MAG's procurement processes and policies, arrange for replacement of equipment and for any needed repairs and maintenance within the accommodation, ensuring appropriate approval and sign-off for all changes and purchases made. When necessary, work with contractors (eg electricians, builders, plumbers) to ensure work is carried out well, safely and efficiently with mimimum disruption to the staff living in the accommodation - Immediately report any concerns regarding health and safety in the accommodation to the Base Supervisor - Working with the finance team, ensure that rental and utilities payments are all made in a timely fashion and alert the SSM in advance of any contracts that are due to expire - Working with the Base Supervisor, carry out any needed changes to the Battambang Office, including purchasing of equipment, review of the health and safety measures, internet connections etc - Be responsible for any issues arising in the accommodation for the international staff members in Battambang, including renewal of internet connection, supply of basic equipment etc. Ensure appropriate approvals and sign-off for any purchases made 2. Asset Management - Overseen and supported by the Base Supervisor, and working with members of the operational and fleet teams, ensure that the asset register is kept up to date, in line with MAG guidelines, including information on location of items and their condition - Ensure the correct labelling of all assets in line with the asset management procedure - Work with the Base Supervisor and Procurement and Inventory Manager to carry out a physical verification of assets held by the Battambang base on at least a 6-monthly basis, ensuring that this is well communicated to relevant staff in advance and does not interrupt operations 3. Team Management - Manage the guards and cleaners under the supervision of this role effectively and efficiently, carrying out all usual managerial tasks (probation setting, catch ups, appraisals etc) as appropriate, ensuring that lines of communication are open and effective and dealing with any questions or complaints efficiently, following consultation with the Base Supervisor and/ or HR - With particular attention paid to the drivers, task the team effectively so that they are making the best use of their time within the context of the operations that the Base is supporting 4. Other - Ensure knowledge of the working of the Base Assistant's role to ensure flexibility during unexpected absences, in particular booking of travel and hotels for visitors to the programme, and purchasing requests - Ensure a working knowledge of the management of the Store, to ensure flexibility during unexpected absences. During busy periods, assist the Storekeeper in the preparation of equipment for the teams and in the monitoring of equipment returned during stand-down - Assist users in their use of IT systems (software install & maintenance, e-mail account setup, etc.) - If required, support in the review of fuel invoices on a monthly basis - Carry out any other reasonable duties as requested by the Base Supervisor 5. Responsibilities of all staff As part of their roles, all MAG staff are required to: - Uphold and implement MAG standard policies including, but not limited to the Policy on Personal Conduct, Protection of Children and Vulnerable Adults, Dignity at Work, Financial Crime Policy, Gifts and Hospitality Policy and Equal Opportunities Policy - Understand and uphold the standards outlined in MAG’s Safeguarding Framework, acting with due care and attention to safeguard the wellbeing of anyone that comes into contact with MAG’s work and reporting concerns if they do arise. - Work within the framework of MAG’s core values, promoting its ethos and mission statement. - Work towards achieving programme and/or department business plan objectives - Ensure familiarity with and adhere to all MAG policies and procedures and keep informed of MAG activities - Undertake and apply learning from appropriate training and development programmes. - Undertake the role in a manner appropriate to the cultural context and within the local legal framework - On occasion, work outside regular working hours as circumstances dictate.

Experiences & Qualification Requirements Essential: - At least 2 years' proven experience in a related role - Good English, written, spoken and understood - Good communication and negotiation skills - Ability to work under pressure and meet deadlines - Knowledge of all Microsoft Office applications - Commitment to the guiding principles of MAG Desirable: - A professional qualification in logistics and/ or premises management and/ or Health and Safety management - Experience in construction/ buildings management and/ or qualifications as an electrician/ builder/ plumber etc would be a significant advantage - Driving license category B - Advanced IT skills including networking, installation of programmes, troubleshooting and a good understanding of IT hardware - Knowledge of the mine action sector would be an advantage Women and people with disabilities are particularly encouraged to apply.
